Events and Training Standard Terms and Conditions

  1. Delegate rates are calculated by totalling all Denplan patients registered to your practice 
  2. Places are limited and are on a first come first served basis 
  3. Payment/deposits can be paid by cheque (made payable to Denplan Ltd) or through your monthly report or you can call on 01962 828026 and pay by credit or debit card 
  4. Your booking is confirmed once payment has been received 
  5. Simplyhealth Professionals reserves the right to refuse any booking for any reason 
  6. Events are subject to availability and numbers are limited 
  7. Should you cancel within four weeks of the event, we will do our best to re-sell the space, however refunds will only be given if your space can be re-sold. (Cancellation charges may apply for free of charge events in the event of late cancellations or non attendance)
  8. Dates and locations are subject to change 
  9. Simplyhealth Professionals reserves the right to cancel, change or amend any event 
  10. Delegates consent to being photographed and the recording and filming of themselves 
  11. All prices displayed exclude VAT. VAT will be added to final booking charge for all events
  12. Attendance at any Simplyhealth Professionals event is at the delegates own risk. Simplyhealth Professionals accepts no liability for injury or loss of personal belongings  


  1. To take part in one of our fundraising events you need to complete and sign a registration form, which will be provided at the time of booking
  2. Should you have to withdraw, all money collected so far should be forwarded to Simplyhealth Professionals. Your registration fee is non-refundable
  3. All persons taking part in any of the Simplyhealth Professionals Charity Events must be at least 18 years old. (Under 17’s must be accompanied by a legal guardian at the event and all forms to be completed by the guardian before the event.)
  4. Participation in Simplyhealth Professionals Charity Events is at the entrants own risk. Simplyhealth Professionals and Make-A-Wish Foundation accept no liability for death, illness or personal injury as a result of your participation in the event. All participants are strongly advised to consult their doctor prior to undertaking any exercise programme. Simplyhealth Professionals recommend you follow a training programme prior to taking part in any of our Charity Events
  5. Participants who are drug or alcohol dependant will not be permitted to take part
  6. Simplyhealth Professionals and Make-A-Wish Foundation may, at their discretion, withdraw your entry from the event at any time, if it is believed to be in their or your best interests to do so, and this decision is final. No refunds will be provided
  7. You will be responsible for providing your own personal equipment; trainers, bicycles and maps (if applicable). It is your personal responsibility to ensure your equipment is in good working order. As well as being able to be self-sufficient if anything requires emergency repairs
  8. You must comply with health and safety regulations, including wearing a cycle helmet (if applicable), which conforms to current regulation. Wearing appropriate attire for walking or cycling. Walking attire includes appropriate clothing and comfortable shoes, following recommendations set out by Simplyhealth Professionals prior to the event (which will include equipment). Cycling attire includes light coloured or fluorescent clothing which helps other road users to see you in daylight and poor light, and reflective clothing and/or accessories (belt, arm or ankle bands) in the dark
  9. Accommodation will be confirmed on receipt of your Registration Form. Should you have to withdraw from the event, you will be liable for any cancellation costs if we have been unable to re-sell your room
  10. You give your consent that any photographs taken at the event can be used for future promotional purposes
  11. Travel to and from the start and finish points for all our charity events are the individual’s responsibility
  12. All sponsorship money should be forwarded to Simplyhealth Professionals within six months of the event
  13. Simplyhealth Professionals and Make-A-Wish cannot be held responsible for any changes or alterations to itineraries, routes or schedules which may occur beyond their control
  14. In order to run the event, we require a minimum of 10 participants

Christmas Balls

  1. Places have to be paid for at the time of booking via monthly report or if an invoice is requested this must be paid within two weeks
  2. Places will not be refunded unless they can be resold
  3. Ball tickets include a three course meal with wine, arrival drink and evening entertainment
  4. Bedroom bookings need to be arranged by the individuals.  Please see our website www.denplan.co.uk/ChristmasBalls for accommodation suggestions
  5. Tables can hold a maximum of 10 people.  Smaller groups will have to share and larger groups will be split between tables
  6. All known dietary requirements will be catered for.  These need to be given to Simplyhealth Professionals at least two weeks in advance 

Golf Conference

  1. Upon registration, active handicap certificates must be produced if you wish to play in the competition
  2. Player one must be a Simplyhealth Professionals member dentist. Player two must be a Simplyhealth Professionals member dentist, spouse/partner or a member of your practice team based at your surgery
  3. Prices are calculated by totalling all Denplan registered patients to your practice
  4. Simplyhealth Professionals reserve the right to refuse entry, for whatever reason
  5. Simplyhealth Professionals reserve the right to cancel, amend or change this event
  6. The afternoon 18 hole pair competition will be played by Stableford Better Ball off a 90% handicap. The maximum handicap received is 24 for gentleman and 32 for ladies
  7. Spaces are on a first come first served basis
  8. Payment must be made at the time of booking to secure your space

Key Client Forums

  1. Bookings for 2017 must be made online via www.denplan.co.uk/KCF
  2. These events are strictly by invitation only, for Key Client dentists
  3. Simplyhealth Professionals reserve the right to refuse any booking, for any reason
  4. Bookings are only confirmed once a confirmation email has been received by the dentist from the Events Team
  5. Due to the popularity of these events and the terms and conditions of the venues, we need to be informed two weeks before that dinner and/or accommodation are no longer required. If we are not informed, we will pass on the venue cancellation charges of £45 + VAT for dinner and £110 + VAT for the accommodation 
  6. Non-member dentist partners are allowed to stay overnight at the forums for an additional charge of £25+VAT.  This will be charged two weeks before the event.  If you would like to cancel your partner staying overnight we will need to be informed before this time.  If you cancel within two weeks of the event you will be charged this cost as a cancellation fee.  Please note unfortunately we cannot accommodate partners for dinner

  1. Tailor-made Training day dates are allocated subject to availability
  2. Your Tailor-made Training day is confirmed once you have received your Tailor-made Training Information Pack from the Simplyhealth Professionals Events and Training team
  3. To guarantee your Tailor-made Training day, payment must be received (if applicable) within 28 days of receiving your Tailor-made Training Information Pack
  4. Cancellation of your Tailor-made Training day less than 2 months before will be subject to a cancellation charge
  5. Simplyhealth Professionals reserves the right to cancel, change or amend your Tailor-made Training day
  6. Delegate details must be confirmed one month prior to your Tailor-made Training day
  7. Please note the Simplyhealth Professionals Trainer booked to deliver the training is subject to change
